An excellent opportunity for an experienced Administrator to join one of Coventry University's key departments to provide a wide range of administrative and customer service support. You will work collaboratively as part of a team, supporting with booking of venues and catering for development events, preparing communications to advertise courses and updating booking systems, all in line with Group Data Protection requirements.
Main Duties and Responsibilities
*Implement and maintain systems, processes and procedures that support the delivery of high standards of customer service in line with agreed service levels across the University Group, to an International audience.
*Act as the first point of contact for queries received via telephone and multiple shared email inboxes to a satisfactory resolution in line with internal customer service standards.
*Work alongside the team in maintaining databases for all internally-run courses to ensure timely completion of pre- and post-course administration, including inputting of course attendance and equality data.
*Assist with course enrolment and password creation for all new staff for mandatory e-learning modules.
*Use templates to create and circulate course adverts and calendar invitations and monitor course bookings. Organise room bookings and catering for courses and all workshops in line with any specific course and/or dietary requirements.
*Prepare registers and resources (including hard copy documentation) for courses and workshops and assist with room set-up as required.
*Maintain information databases, including filing and housekeeping of documentation as well as archive storage.
*Provide support as required to assist with ad hoc project work and system administration for colleagues during periods of leave to maintain customer service levels, taking prompt and effective action to respond to requests for support across the wider team, as required.
*Monitor office stationery stock and re-order as required
*Assist with team events, including the annual Staff Conference and Academic Poster days.
*Provide support and follow processes used for procuring products and services, and also the development and accreditation pathways for members of staff.
*Ensure all work is carried out within University Group policies, including Data Protection and Health and Safety guidelines, and to complete all required Mandatory training.
*Experience of administrative work within a high performing customer focused environment
*Experience of working in a Higher Education Institution or large organization would be advantageous
*Strong customer service skills with excellent communication skills both written and verbal.
*Numerate and literate.
*Ability to competently use IT systems including Microsoft, Excel, Word, and Outlook
*High attention to detail / accuracy
*Knowledge of Data Protection and Equality & Diversity legislation and how it applies in a business context
*Good communication skills both verbally and in writing
*Proven ability to work collaboratively and as part of a team
*Ability to work under pressure and to tight deadlines, and prioritise accordingly
*Ability to exercise judgement and operate to a high degree of discretion and confidentiality
*A flexible approach in order to support other areas of work as and when required
